  2. What strategic goal are the tasks tied to? Write it down.

  3. What impact would it have if you no longer had to do this task? Write it down.

  4. What will it help you do better? Write it down.

  5. What’s the one thing from the list that will have the biggest impact if automated? Write it down.

Step 1: Identify Time-Draining Tasks

What do you do each week that takes 20 minutes or more?

Think about the repetitive tasks that take up your time but don’t require a lot of thought.

Take a moment now and list a few tasks that come to mind.

Examples could include:

  • Manually entering data into a CRM.

  • Sending out reminder emails.

  • Creating reports from spreadsheets.

Your Turn: What’s one task that takes at least 20 minutes every week? Write it down.

Step 2: Tie It to a Strategic Goal

What strategic goal are these tasks tied to?

Now, look at the task you just wrote down.

What broader goal does this task support?

Is it related to growing your customer base, improving productivity, or driving revenue?

Understanding the "why" behind how a task will help you?

Your Turn: What goal is tied to this task? Write it down.

Step 3: Consider the Impact of Automation

What impact would it have if you no longer had to do this task?

Imagine the task you listed is automated.

What could you do with the extra time?

How much would it free up your bandwidth?

Can you focus on higher-level?

Your Turn: Write down what difference it would make if this task were automated.

Step 4: Identify How It Improves Your Work

What will it help you do better?

Beyond time savings, think about how automating this task will help you do your work better.

Will it make you better or create new sales?

Will it increase your capacity?

Will it give you time to think about working on the business instead of in it?

Your Turn: How will automating this task improve your outcomes? Write it down.

Step 5: Pick One Task to Start With

What’s the one thing from the list that will have the biggest impact if automated?

Look at the tasks you’ve listed so far.

Which one, if automated, will have the biggest positive effect on your work or business?

Your Turn: Choose one task from your list and make a commitment to automate it. Write it down.

Example prompt:
"I use a CRM that costs $400/month, and my team spends 20 hours weekly on manual data entry. This costs about $6K in labor. Can you help me break down what information you need to audit my current setup and identify inefficiencies?"
