I started our "Cut a Manual Task in 21 Days" program last week, and something interesting happened.

One of our coaching participants – an accountant shared she was stuck on where to start with AI. "I know it's powerful," she told me, "but how do I figure out which tasks to automate first?"

I hear this a lot.

That familiar paralysis when faced with too many possibilities.

So I walked her through the three simple questions I always lead with:

  1. What is a goal you want to accomplish in 12 months?

  2. What are the key things you need to do to reach that goal?

  3. How can AI assist you with these goals and which would have the greatest impact?

I asked her, what areas created work or slowed things down for her. She said we have a Google Form so our clients can submit information but often they provide us the wrong documents.

I said, that sounds like a great place to start. We went the process in greater detail and came up with a few ways AI could assist in their intake process.

In a few minutes we were able to zero in on where AI could have an impact on both customer service and the manual back and forth.

She identified client onboarding as her biggest time drain – a process that was stealing 5 hours weekly from her and her team members from doing high-value work and serving more customers.

Start With Tasks That Matter

Begin by listing your three biggest business goals. For each goal, identify daily tasks supporting it.

A real estate client wanted more qualified leads. When we mapped activities, we discovered his team spent hours downloading files, copying them into a spreadsheet and uploading them into their CRM. A perfect opportunity for AI to assist.

Ask yourself: "Does this task support my goals?" If not, it's probably not high on your AI priority list.

Test Your Hypothesis

Create a clear hypothesis about how AI will improve each task. I want to double the average number of new customers we get each month: "AI will automate finding increasing our pipeline by 40%."

Run small experiments first.

Double Down on Winners

The winning AI tasks always share three traits:

  • They happen frequently (daily or weekly)

  • They follow consistent patterns

  • They support a goal
